Purchasing Manager- USDA Materials and Equipment

Job Summary:

As the Purchasing Manager, you will direct and coordinate all aspects of procurement from understanding market changes to negotiating contracts of raw materials and essential manufacturing equipment. In addition to working closely with current vendors, this role is responsible for sourcing and evaluating new vendors.

Key areas of Responsibility for a Procurement Inventory

  • Negotiate contracts with suppliers to attain acceptable quality, best price, and timely deliveries for APF.
  • Build and maintain good business vendor relationships while seeking out new or alternative vendors as required.
  • Prepare a monthly report by vendor of purchasing activity including price deviations, quality problems, on-time deliveries, late deliveries, promotions, and sales velocity.
  • Maintain contact with all markets and vendors through personal contact, professional associations, and trade publications.
  • Establish and direct a cost reduction program aimed at lowering overall purchased goods costs.
  • Establish and maintain raw material inventory and periodically check quantities to ensure accuracy.
  • Resolve order and billing discrepancies in coordination with accounting and vendors; respond to inquiries on any material received.
  • Process returned purchase items that are not acceptable or do not meet specifications.
  • Communicate with management concerning new products and forecasts for new and existing products.
  • Initiate and distribute change notices for purchased items such as changes in specifications, part numbers and sources.
  • Communicate with shipping/receiving regarding incoming and outgoing shipments daily.
  • Communicate with vendor the need for promoting or returning slow moving inventory.
  • Communicate with management current market information.
  • Procurement experience in USDA environment and raw materials.
  • Provide leadership to create an environment committed to quality, food safety, team member safety, and positive team member relations.
  • Monitor all materials to evaluate yields and product quality.
  • Prepare and maintain a variety of daily data for production metrics and analysis.
  • Actively pursue opportunities that will improve plant’s cost position.
  • Promote a safe workplace, ensure compliance with safety policies and address hazards.
  • Perform other related responsibilities, as needed, to support APF’s business objectives.
  • Schedule and maintain inventory systems.
  • Devise ways to optimize inventory control procedures.
  • Inspect the levels of business supplies and raw materials to identify shortages.
  • Ensure product stock is adequate for all distribution channels and can cover direct demand from customers
  • Record daily deliveries and shipments to reconcile inventory
  • Use software to monitor demand and document characteristics of inventory
  • Please orders and replenish stock avoiding insufficiencies or excessive surplus
  • Analyze data to anticipate future needs
  • Evaluate suppliers to achieve cost-effective deals and maintain trust relationships
  • Collaborate with warehouse employees and other staff to ensure business goals are met
  • Report to management on stock levels, issues, etc.

Qualifications, Education & Preferred Skills Requirements

  • Bachelor’s Degree in Business, Management or related discipline, or equivalent experience, preferred
  • 3-5 years procurement experience in manufacturing, food processing industry required.
  • Demonstrated team building and leadership skills.
  • Attention to detail and uncompromising concern for quality and food safety.
  • Strong mechanical, technical, analytical, and problem -solving skills.
  • Strong mathematical and written and oral communication skills.
  • Well organized and self-directed.
  • HACCP certified a plus.
  • Proficient in Google Suite and SAGE software
  • Ability to work a flexible schedule and extended hours.
